Fitness CRM & Mindbody Implementation Specialist

At PeakFlow Fitness Studio, I was responsible for planning and executing the complete rollout of their studio management and booking system using Mindbody as the core gym CRM / fitness CRM. The studio was preparing for its first location launch and needed a fully configured platform before opening to handle memberships, class bookings and payments smoothly. My first step was to sit down with the owner and define all operational details: session types, pricing models, membership structures, intro offers and class capacity. Based on this, I designed the system architecture inside Mindbody, including business settings, locations, tax rules and payment options. I then built out the class schedule, instructor profiles, resource allocation and online booking rules so clients could register and pay without staff intervention. A major part of the role involved transforming scattered spreadsheets into clean, structured data ready for import. I standardized client records, resolved duplicates and filled critical gaps to ensure accurate reporting and member history once the data was loaded into Mindbody. Afterward, I configured automated workflows such as email confirmations, SMS reminders and cancellation windows to reduce no‑shows and admin workload. To ensure the team could operate independently, I created clear, practical documentation covering day‑to‑day tasks like enrolling new members, managing memberships, checking clients into classes and running key revenue and attendance reports. I also walked front desk staff and trainers through live scenarios so they could confidently use the fitness CRM to support studio operations from day one.
